Head of Facility Management

ROLE · Develop , implement and manage a facility management programme including preventative maintenance and life - cycle requirements and support all hospitality activities; · E nsure compliance w ith health and safety standards and industry codes; · A llocate and manage w ork place space for maximum business efficiency and coordinate intra - office moves; · Supervise maintenance and repair of facilities, assets, systems and equipment and oversee facility technical systems refurbishment and renovations; · Plan and manage facility central services such as reception, security, cleaning, catering, waste disposal and parking; · Implement best practice processes to increase efficiency and conduct and document regular facilities inspections; · Define tenders and obtain quotes from vendors and suppliers then calculate and compare costs for goods and services to maximize cost - effectiveness and negotiate contracts to optimize delivery and cost saving; · Coordinate and monitor activities of contract suppliers and manage contractor and vendor relationships; · Manage and review service contracts to ensure facility management needs are being met; · Check completed w ork by contractors and vendors and verify payment and invoicing match contract pricing; · Plan and monitor appropriate facility management staffing levels and ensure efficient utilization of facility maintenance staff by do ing performance management interview and developing and training staff; · Prepare and track facility budget by monitoring expenses and payments plus develop and implement cost reduction initiatives; · Generate and present regular reports and review s of facility - related budgets, finances, contracts, expenditures and purchases; · Advise on and monitor energy efficiency and oversee environmental health and safety; · Respond to facility and equipment alarms and system failures (participate to the on - call shifts); · Provide prompt response w ithin all facility management services to requests and issues from employees and all other relevant stakeholders; · Manage and build a strong and professional facility team. PROFILE · Bachelor's degree in Facilities Management, Facilities Engineering or related qualification and/or specialized training & certifications in facility management. Sw iss legal know ledge in terms of building requirement is a must; · Minimum 5 years of experience in building management & overall facility management (including production sites); · High level know ledge within building's technical infrastructure, systems and equipment; · Effective leader w ho promotes team w ork; · Autonomous, solution - finder, hands - on, detail - oriented, analytical w ith strong planning, organization, good communicator and pub lic relationship skilled; · Flexible and adaptive (w illing to intervene on urgencies out of regular w orking hours if needed); · At ease w ith IT tools (MS Office, SAP). Know ledge of CAFM - GMAO ( Archibus ) and GTC - BMS ( PcVue ) and AutoCAD is an asset; · Fluent in French and English.
