An important part of the job is helping the Head of ICT with administrative tasks, especially the management of his day-to-day activities. Profile:

The Management Assistant carries out all administrative tasks for the ICT unit and for the EURO ICT project. An important part of the job is helping the Head of ICT with administrative tasks, especially the management of his day-to-day activities. The Management Assistant also acts as Guest/Group Relations Coordinator during events.


Purpose:


Facilitating the work of the Head of ICT:
- Managing his day-to-day schedule;
- Handling correspondence (including drafting letters);
- Taking follow-up actions and liaising with external entities on behalf of the Head of ICT (acting as the first point of contact);
- Ensuring a steady flow of information to and from the Head of ICT and other units and divisions for events and cross-unit/cross-division activities;
- Making travel and accommodation arrangements for the Head of ICT, visitors and, from time to time, other ICT staff;
- Following up outstanding matters for the Head of ICT;
- Filing and archiving documents.

Organising all aspects of the Head of ICT's meetings:
- Preparing and following up invitations;
- Supporting the preparation of presentations and meeting documents;
- Writing and distributing minutes and action lists when relevant.

Event-related duties:
- Assuming the role of Group Relations Coordinator for the Head of ICT's guests and/or target groups;
- Assisting at some UEFA events could be required (but not regularly).

Other:
- Managing and coordinating all ICT staff files (including for external staff);
- Coordinating guests for the ICT unit and for the EURO ICT project (Group Relations Coordinator role);
- Managing and updating records of absences and holidays;
- Organising the unit's human resources-related activities, such as annual appraisals.

The above list of responsibilities is not exhaustive. The person selected will be able to evolve in the role, allowing for greater responsibility according to his/her abilities.

Requirements:

Experience required:
- from 4 to 6 years experience of working in a multipurpose role
- from 1 to 3 years experience in events would be an asset

Education:
- Good general education background

Languages:
- English / Proficient
- French / Proficient

Additional requirements:
- Experience in an ICT or technical environment would be an asset
- MS Office / Advanced
- SAP knowledge is an asset
