The work model is hybrid, with one to two days a week working from home. At the same time, it requires sound judgment to determine when it makes sense to be in the office, particularly on days when alignment and direct exchange are important. The modern offices are in Zurich, just a 10-minute train ride from the main station. The position is available for an immediate start.
Reporting directly to the Chief of Staff, this position sits in that nuanced space between coordination and ownership. It does not carry full project management responsibility, yet it goes beyond traditional administrative support. You will act as a trusted partner in a dynamic setting, working alongside engaged colleagues in a position that offers proximity to leadership and strategic decision-making. Your Scope of Responsibilities
- Provide high-quality organizational support, contributing to the smooth execution of the Chief of Staff’s activities and longer-term initiatives.
- Act as a central coordination point for projects and topics, contributing to planning, tracking progress, and maintaining alignment across activities and priorities.
- Monitor action items, keep visibility over timelines and dependencies, and follow up independently with relevant stakeholders to ensure steady progress without taking on full project ownership.
- Support the organization of meetings, workshops, and events in collaboration with internal colleagues and external partners, ensuring thorough preparation, smooth coordination, and clear follow-up.
- Prepare and proofread documents, presentations, and reports with a high level of accuracy and attention to detail.
- Capture meeting notes and discussion points, translating them into follow-ups and actionable summaries.
- Conduct research, compile information, and draft correspondence to support the Chief of Staff and the broader team in their decision-making process.
- Handle administrative tasks and event-related expenses while organizing logistics, travel arrangements, and cross-regional coordination.
- Maintain strict confidentiality while gathering and organizing information for conferences, speeches, and reports.
- Contribute to a positive team spirit while helping establish efficient ways of working.
What You Bring to the Role | Education, Experience & Personal Traits

- A-level or commercial apprenticeship, combined with a minimum of 5 years of experience in administrative and/or project support roles within an internationally operating company, ideally within a corporate or group structure. Understanding of organizational workflows and exposure to technology, engineering, or energy environments are advantages but not required.
- Proven experience working with senior stakeholders and handling sensitive information with a high level of discretion.
- Exceptional organizational skills, combined with a strong sense of oversight across projects and attention to detail.
- Willingness and ability to take on a growing scope of tasks, including topics that may not always be clearly defined.
- Strong anticipation skills, combined with a pragmatic mindset and clear focus on getting things done.
- The ability to establish effective relationships across a diverse stakeholder landscape.
- Excellent written and verbal communication skills, with a keen instinct for tone and positioning; business fluency in English (native/C2) is required; German and additional European languages are a plus.
- Digital affinity, including confident use of Microsoft Office, collaboration tools (Zoom/Teams), and SharePoint.
- A service-driven personality, combining resilience and responsiveness with a genuine commitment to supporting a well-functioning office.
